SUMMARY

The Director of Logistics and Facilities Management is responsible for managing the organization’s overall logistics planning, facilities strategy and vision, physical plant maintenance, and oversee general maintenance, building safety, and capital improvement projects in conjunction with leadership. The Director provides all project management for facility-related projects including budget management in coordination with senior leadership, manages all facilities vendor contracts and relationships, and will also provide oversight and management of the donation area, warehouse, grounds, organizational construction and development, and ensures that maintenance and use of facilities supports operational and organizational goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensures that the campus buildings and physical plant are maintained and physically and environmentally safe. Assesses all aspects of Facilities operations to ensure the safe, efficient, and economical operation of all properties, utilities, buildings, and related equipment.

2. Reviews and manages current policies, plans, and procedures for Facilities Management including those for physical plant safety, disaster readiness, fleet usage and management, general maintenance, and other issues pertinent to these essential duties. Provides expertise and insight on campus policies and procedures to ensure best practices and efficient use of campus facilities.

  • Responsible coordinating with senior leadership to plan, prepare and implements facility strategies to ensure that the facility usage aligns with overall organizational goals and needs, while also ensuring best practices are followed with regard to the efficient and effective use of campus facilities and resources. Also responsible for space planning and management for the facility.
  • Develops long term facility maintenance planning including preventive maintenance, obsolescence planning, ongoing maintenance, and capital improvement for the current and long term needs of the organization.
  • Recommends capital improvements based on strategic goals of the organization and develops obsolescence plan to ensure facilities are maintained and uptime is achieved. Develops detailed plans for capital improvements including working with architects and other consultants to ensure accurate and detailed budgeting. Coordinates with Chief Operating Officer, Chief Financial Officer, and Chief Development Officer to build out capital budgets and case statements.
  • Responsible for ensuring compliance of campus physical plant with applicable building, construction, and accessibility standards and codes, and works in conjunction with Legal Department to ensure overall compliance of facilities operations with applicable safety standards. Interfaces with relevant regulatory agencies as necessary to coordinate and ensure the successful completion of necessary inspections.
  • Selects, engages, and oversees all external contractors and vendors for any facilities-related tasks and work.
  • Develops and manages the budget for facilities management, maintenance, custodial, groundskeeping, warehouse, and donation center teams. Regularly reviews the budget, costs, and vendor agreements to ensure that effective and efficient management of Facilities team.
  • Develops and/or coordinates bids, Requests for Proposals, and similar work product for facilities-related projects, as requested.
  • Advises the Sr. Manager of Facilities on staffing, including recruitment, supervision, scheduling, development, evaluation, and disciplinary actions. Promotes a culture of high performance and continuous improvement that values learning and a commitment to quality. Ensures staff members receive timely and appropriate training and development. Mentors and develops staff using a supportive and collaborative approach, assigning accountabilities, setting objectives, establishing priorities, and monitoring and evaluating results.
  • Responsible for project management for all facility-related projects across all departments at the organization. Produces weekly reports for the CEO, CFO, and VP of Transformational Services on the status of all projects. May present to the Board of Directors or other stakeholders as requested.

EDUCATION

· Required Minimum Education: Bachelor’s Degree in Construction Management, Facilities Management, Engineering or other related field. Alternatively demonstrated experience within field, along with relevant technical or trade certification(s), may satisfy educational requirements.

· Preferred Education: Master’s Degree in Construction Management, Facilities Management, Engineering or other related field and/or Certified Facility Manager (CFM) credential.

EXPERIENCE

· At least 5 years managing and/or directing Operations that includes Physical Plant Operations and Facilities, including prior experience managing physical plant maintenance, groundskeeping, custodial, and/or warehouse teams.

  • Managerial/Supervisory experience over multiple departments/functions and demonstrated experience with successful interdepartmental collaboration.

· Experience in project management, process improvement, strategic planning, and budgeting

· Experience in managing shifts and 24/7 operations

· Facilities management certifications/related licensures preferred

  • Exceptional knowledge of facilities services and management issues.
  • Ability to analyze and solve complex problems.
  • Highly self-motivated, self-directed, and attentive to detail.
  • Extensive experience working in a team-oriented, collaborative environment.
  • Outstanding customer service skills, sense of urgency, high degree of professionalism and a strong work ethic.
  • Work effectively with computer software such as Microsoft Office.

· Ability to work a flexible schedule to accommodate the needs of those requesting services and as necessary to support the functions of a 24/7 operation.

  • Because of the physical nature of the position, candidates should be able to regularly sit, stand, and stoop; push and pull with force; climb ladders and stairs; work at elevated heights; be able to work outside and in non-climate controlled spaces with temperature variations and weather hazards; manipulate fine objects; perform standard computer-based work; and be able to lift and carry heavy boxes, bags, and other containers up to 50 pounds.
