Job Description

The Office Services Coordinator, based in Boston is responsible for creating an exceptional workplace environment for the office. The candidate will be responsible for managing all aspects of the workplace for the local office with the support of a central Workplace team. The Office Services Coordinator will ensure our offices are well maintained, safe, and provide a fun and productive experience for our employees. We are looking for an energetic candidate who is highly organized, responsive, and equipped to collaborate effectively with many different people, including employees, contractors, visitors, and senior leadership. The Office Services Coordinator will coordinate daily operations, events, catering, and special projects.

Responsibilities
  • Responsible for day-to-day office management of the Boston office, and support of smaller regional satellite offices as needed
  • Provide world class customer service to our staff for all office and facility needs
  • Oversee office supplies, snacks, catering, internal office moves, guest management, parking allocations
  • Liaise with landlords on regular basis, ensuring landlord-provided services such as cleaning, building engineering, and security meet our needs
  • Manage service contractors for the office, including scheduled and/or equipment maintenance, minor renovation, and handyman projects
  • Oversee purchasing for the office, create purchase orders, review and approve invoices
  • Coordinate all in-office functions, such as space and seat planning, sustainability efforts, shipping/receiving and mail services, special events and catering
  • Participate in the wellness/life/safety functions by scheduling required events such as fire drills, floor wardens, CPR/AED training
  • Manage office security, including badging, access control and system upkeep; partner with our central Security team as needed
  • Utilize and manage our Integrated Work Management/Experience System (IWMS)
  • Other duties as assigned
Basic Qualifications
  • Bachelor's degree
  • 3+ years of office and/or facilities management experience
  • Ability to travel 10% per year
Preferred Qualifications
  • 2+ years in similar role managing a large office
  • Excellent communication skills
  • Experience and proficiency using IWMS software experience
  • Ability to build strong relationships at all levels of the organization
  • Attention to detail and highly organized, and strong analytical and problem-solving skills
  • Ability to manage concurrent responsibilities effectively
  • Work style that fosters collaboration and leadership
  • Advanced proficiency in Microsoft Office suite including Excel, PowerPoint, SharePoint, etc.
