POSITION SUMMARY:


The St. Louis Symphony Orchestra is hiring for a Philanthropy Coordinator role to provide administrative support for the VP – Chief Philanthropy Officer and the Philanthropy Team. Responsibilities include setting up meetings, preparing meeting information, solicitation and renewal packets and other documentation for the Philanthropy department. Additionally, the role will include communicating event details, participating in, and attending meetings and functions.


RESPONSIBILITIES:


-Provide confidential administrative support to the VP and Chief Philanthropy Officer and other senior directors as needed; can include scheduling, communication, preparing correspondence, and entering notes and documents into Tessitura. Manages VP/CPO calendar.


-Work closely with the Manager of Executive Administration to support President and CEO as needed on requests or special projects.


-Maintain master Philanthropy Calendar and assist VP and CPO as well as the team in being tuned in and on track with preparation for upcoming concerts and events.


-Collect and prepare information for the team, for group meetings, and for use in discussions and meetings with staff, board members and others.


-Prepare information, committee agendas, committee meeting minutes, venue details, and track attendees for Trustee Philanthropy Committee.


-Coordinate projects for the team, such as the Monthly Management Report and Board Chair thank you notes.


-Gift and mail processing: collecting, sorting, and prioritizing daily mail for department. Also processing gifts and payments sent through the mail or directly from gift officers, involving accurate attribution to donors and communicating with Finance.


-Prepare solicitation packets and mailings, including renewal mailings and assisting campaign operation with necessary background information and materials.


-Prepare credit card reconciliations for VP/CPO and other financial transactions for department, monitor [email protected] account, proofread and copyedit Philanthropy-related print and eblast projects, maintain stock of collateral materials and coordinate e-birthday cards for the team.


-Assist with communicating and documenting various event details with donors, committee members, and event attendees. Includes input of data into Tessitura and assistance with pre- and post-event needs (e.g., thank yous, name tags).


-Attend various meetings and functions as needed; some evening and weekend work required.


REQUIREMENTS:


-Bachelor’s Degree or equivalent experience required. A background in music is helpful.


-Ability to independently perform a wide variety of duties requiring multi-tasking, planning, and prioritizing.


-Requires considerable judgment in the analysis of facts and circumstances surrounding problems or transactions to make related decisions guided by precedent and within limits of established policies.


-Ability to work with and maintain confidential data.


-Ability to perform work with considerable accuracy.


-Excellent written and verbal communication skills.


-Must be comfortable working with individuals at all levels within the organization.


-Proficient in Microsoft Office, including Word, Excel, Access, and Outlook, and experience with database management systems.
