Office Manager / HR Specialist
Location: Uptime’s Jacksonville, FL office (Southpoint area)

Position Summary
As the Office Manager / HR Specialist, you will be responsible for supporting company operations by maintaining the overall organization, administration, and supply inventory of Uptime’s Jacksonville office. You will also work closely with the HR Manager on personnel matters related to hiring and onboarding, and will work cross-functionally with all areas of the organization to ensure streamline processes related to administration, scheduling, recruiting, office-side facilities, shipping, procurement, travel, etc. This is a great opportunity for someone with an office management or administrative support background as well as some recruitment experience.
Essential Duties and Responsibilities
Office Management:
- Maintain office organization including supply inventory and ordering, employee workspace setup and office layout planning, kitchen, catering, building management and maintenance, office-related shipping and receiving, and other areas as needed
- Liaise with staff, management, suppliers/vendors, and customers
- Serve as first point-of-contact for all visitors, incoming calls, and front office deliveries
- Provide administrative and clerical support as needed, including scheduling, document creation and maintenance, mailings and other correspondence, accounts payable processing, travel arrangements, presentations, etc.
Human Resources/Recruiting:
- Create job postings, review resumes, contact and screen applicants
- Set up and manage interviews and other meetings with hiring team, balancing multiple calendars
- Establish and carry out onboarding process for new hires
- Maintain HR files, including personnel records, exercising a high level of confidentiality and discretion
- Perform day-to-day operational HR tasks as needed
Qualifications
The requirements below are representative of the knowledge, skills, and abilities required to perform the job well:
- Bachelor’s degree and 3-5 years of experience as an Office Manager, Office Administrator, Administrative Assistant, or in another support/coordination role
- Recruiting experience is highly preferred
- Notary Public, or willingness and ability to obtain license
- Versed on taking direction from multiple individuals and prioritizing requests
- Proficient with Microsoft Office products (Word, Excel, PowerPoint, Outlook)
- Some familiarity with SharePoint
- Comfortable performing a wide range of tasks, ranging from clerical office duties to managing sensitive information and making decisions
- Must be proactive, highly organized, detail-oriented, possess excellent verbal and written communication skills, and be willing to wear multiple hats
- Startup or small company experience is a huge plus!
- Accounts payable experience is also a plus
- This is an office-based role, so qualified candidates must be able to work onsite Monday-Friday during normal business hours
