DESCRIPTION


The Rady School of Management provides business education through its many graduate business degree programs, PhD program, and undergraduate business program. The Recruitment & Admissions Operations Specialist position serves as the "front door" to the Rady School of Management's Graduate Admissions Office and is part of the Graduate Admissions and Recruitment team. This position greets and welcomes prospective students, coordinates campus visit opportunities (including class visits, tours, meetings with current students/faculty, etc.), answers the general office phone, and evaluates the needs of prospective students in order to share appropriate information or make an introduction to an admissions advisor. This position evaluates sales leads (those who may be interested in applying to the Rady graduate business school) and collects additional information if needed, to qualify the lead.


The position engages prospective applicants via phone, text, and email, soliciting information from prospective applicants as to their professional goals and educational background, and determining what graduate degree program is most appropriate. This position then establishes contact between the prospective applicant and an admissions advisor. The position responds to a wide variety of recruitment related questions via incoming emails and phone calls from applicants and prospective applicants. The position uses a CRM (client relationship management, specifically Salesforce/TargetX) tool to document sales calls and customer contact, and during peak times may assist with the processing of admissions applications and files.

The Recruitment and Admissions Operations Specialist serves as a power user for Salesforce/TargetX with regard to reporting and recruitment operations. This position works closely with all members of the Graduate Admissions team to build and create reports and dashboards to support prospect/applicant tracking through each stage of the recruitment and admissions funnel.


This position coordinates operations, communications, and logistics related to Recruitment & Admissions events on campus and offsite, creating invitations, distributing information, contacting vendors, assembling recruitment brochures and documents, and coordinating and processing event logistics including travel logistics and processing related travel reimbursements. Some travel to recruitment events, as needed.


  • Occasional evenings and rare weekends may be required due to special Recruitment & Admissions events such as graduate school fairs, special outreach events, student-related events such as graduation, etc.


  • A cover letter is preferred.


QUALIFICATIONS


  • Customer interaction skills. Experience responding to incoming email messages or phone calls in a timely manner; experience "triaging" customer inquiries to determine what information the customer/visitor needs.

  • Experience providing information to customers via email/phone, or when needed determining when to referr the caller/visitor to a colleague, while maintaining a professional, polished, customer-centered approach.


  • Experience making meeting & event logistics arrangements: room reservations, catering, IT equipment needs, travel, support documents etc. for onsite and offsite meetings. Experience processing invoices/reimbursements, invoices etc.


  • Experience making outgoing sales calls and/or confirming sales leads, ideally reaching out to those considering enrolling in an educational program or university degree program. Experience using a professional approach to develop a rapport on the telephone or via email.


  • Experience interacting with customers and presenting information with a marketing/sales approach, presenting information in a positive, accurate manner ideally about an educational program or something similar.


  • Experience working in an admissions office or similar office, interacting with applicants/students, processing admissions files and conducting applicant phone outreach.

PREFERRED:


  • Experience interacting with an international audience, such as students, applicants, clients, etc.


  • Experience in a graduate business degree program explaining admission requirements & application deadlines to prospective applicants.


  • Experience working with a CRM (customer relationship management) system, preferably Salesforce, TargetX or Slate to track customer contacts, lead conversations, and to review application materials.


  • Experience scheduling admissions interview appointments, onsite tours of educational facilities, or classroom visits.


SPECIAL CONDITIONS

  • Must be able to occasionally transport and carry admissions brochures/materials to offsite activities such as recruiting events, graduate school fairs, etc.; must have transportation to get to offsite activities.
