The Executive Assistant role is responsible for working directly for assigned company executive(s) to provide support services. Assists with a variety of highly complex administrative duties help the executive and related departments and staff work more effectively.
Key Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES
Directly assists management with special projects, reports, and meetings.
Types, copies, and distributes memos to administrators and employees as needed.
Schedules conference calls and meetings. Prepares for meetings, including ordering food, making copies, etc.
Maintains calendars, contact lists, and files for administration executives. Coordinates meetings for administration as needed.
Sends invitations, reminders, and text messages to executives and employees regarding meetings.
Coordinates company/departmental events as needed.
Types agendas and reports for meetings as needed.
Directly assists with special projects as related to the executive and department.
Maintains calendars and uses initiative and discretion in scheduling and rearranging appointments as needed.
Receives, reads, sorts, routes, and responds to routine mail and inquiries.
Prepares and/or transcribes correspondence consisting of letters, memoranda, and reports; this includes working with materials of a sensitive or confidential nature and requires a familiarity with legal mandates, policies, regulations, and operational procedures.
