HUMAN RESOURCES ASSISTANT

Human Resources Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the Human Resources Department. Supports manager through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and electronically ensuring that all assigned duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Reports to the Human Resources Manager.

Responsibilities:

Answer and direct phone calls
Organize and schedule meetings
Maintain contact lists for employees, vendors and manufacturers
Produce correspondence memos, letters, faxes and forms in relation to HR Policy and Operations
Assist in the preparation of regularly scheduled reports
Assist in the preparation of payroll
Develop and maintain a filing / scanning system
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Take dictation and follow up with all parties via email
Research and create presentations as needed
Handle multiple projects
Contribute to team effort by accomplishing related results as needed
Review / correct letters and emails on behalf of other office staff
Handle sensitive information in a confidential manner
Assist with creating written office policies and procedures
Reply to email, telephone or face to face enquiries
Assist with resolving administrative problems
Receive, sort and distribute the mail
Greet and assist visitors to the office
Photocopy and print out documents etc.
Fill in and/or participate in projects with other departments

Requirements:

Proven HR Admin or HR Assistant experience
Excellent time management skills and ability to multitask and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office
Some knowledge of QuickBooks
At least 1 year of experience in the field or in a related area
High school diploma or equivalent; college degree preferred
