Job Description

The Program Coordinator for USDA and Pickering Diplomatic Fellowships provides operational support for these fellowship programs, funded through cooperative agreements with the
U.S. Department of Agriculture
and
U.S. Department of State
. The individual would be part of a broader team in the Diplomatic Fellowships Unit within the office of the Provost, based at the Ralph J. Bunche International Affairs Center.

The
Thomas R. Pickering Foreign Affairs Program
and
Foreign Agricultural Service Diversity Fellowship Program
are premier diplomatic fellowship programs created to attract diverse talent to the USG Foreign Services. The Programs seek individuals committed to promoting positive change in the world as U.S. diplomats for the Foreign Service and select Graduate Fellows through a rigorous nationwide competition and support them through two years of graduate school, internships, and entry into the U.S. Foreign Services.

Does not have supervisory responsibilities.

Internal contacts include administrators, faculty, staff and students both within the department and University-wide. External contacts include the sponsor agencies (U.S. Department of State), potential applicants, current fellow and alumni, universities and other non-governmental organizations.

Program Compliance and Data Management

  • Perform specialized grant compliance functions, including writing quarterly reports, drafting surveys and completing analysis, following up with program participants on outstanding program compliance information, and working closely with the Director and Program Manager on grant compliance.

  • Ensure that goals and objectives specified for the program are accomplished in accordance within priorities, time and funding limitations, or other specifications.

  • Manage the filing (digital and offline) of all program data and records.

  • Monitor the Graduate Fellows’ compliance with fellowship requirements and document fellows’ compliance in tracking documents and files related to the Fellows are up-to-date and accessible.


Graduate Fellow Summer Programs

  • Alongside the Program Director and Program Manager, facilitate high impact workshops, meetings, or conferences; coordinate logistics, scheduling and Fellow communications.

  • Support Program Director and Program Manager with technology related to programming and outreach.

Recruitment

  • Manage the recruitment portfolio for the Graduate Fellowship including but not limited to analyzing past and current data, developing recruitment strategies, communicating with potential applicants and organizational partners, planning and implementing information sessions and events, and working closely with senior staff on identifying future partnerships.

  • Oversee management of external contacts’ databases, and distribute information through mail-outs, press releases, and e-mails contacts.

  • Participate in producing promotional materials, fellow recruitment, selections and processing of finalists and fellows for the program.

  • Assist in designing promotional material and social media content.

Support for Selections and Program Administration

  • Assist in the selection process, including answering applicant questions, monitoring applications in the online selections system, reviewing applications for completion, providing logistics for selection process, and performs other related duties as assigned.

  • Assist in preparing and tracking documentation in areas like procurement, requests for payments, income confirmation letters and other requirements.

  • Assisting with basic office functions, including answering distributing mail, filing, and other tasks, as needed.

Communication with Key Stakeholders

  • Participate in and document regular meetings with government sponsoring agencies. Collect and analyze data requested by agencies to respond to inquiries in an expeditious manner.

  • Draft communication (e.g., letters of financial support) with fellows, graduate school partners, recruiting contacts and other key stakeholders.

  • Maintain courteous, responsive, and helpful engagement with all key stakeholders.

  • Effective management, interpersonal, teamwork, analytical, and communication skills.

  • Highly proficient in generating reports from data collected via Google, Microsoft (Word, Excel, PowerPoint, Access), and/or other data collection systems.

  • Highly organized and able to prioritize, multi-task, follow through, and meet deadlines.

  • Advanced software applications (MS Word, Excel, PowerPoint, Access) and standard office equipment.

  • Takes initiative and possesses outstanding customer service and problem-solving skills.

  • Excellent project management and aptitude for organizing large amounts of data and information clearly.

  • Quantitative skills, including the ability to analyze data and present findings in a professional manner that informs decision making.

  • Excellent writing skills with the ability to write correspondence, reports, guidelines, and instructions.

  • Strong oral communication skills with the ability to communicate effectively with a diverse population, and establish and maintain effective work relations with faculty, staff, students, and general public.

  • Ability to exercise discretion and ensure a high level of confidentiality.

Bachelor’s Degree and 1-3 years of related work experience. 8 years of related work experience may be substituted in lieu of educational qualifications.
