Position Summary

Graduate Admissions within the Graduate School at Portland State University is actively seeking a Graduate Programs Coordinator. This position supports applicants applying to graduate school from their first contact with the university through successful submission of a graduate application onto matriculation. The Graduate Programs Coordinator will support admissions by continuously improving the student experience of the admissions process, maintaining applicant records, managing the inquiry and applicant databases, and ensuring a seamless onboarding experience for new students joining PSU’s graduate programs. Expertise will include familiarity with over 150 different graduate programs to advise applicants on career paths and program options, providing technical support, and serving as a liaison connecting applicants with service units and departments across campus. Additionally, the coordinator will manage the Graduate Ambassadors who serve as the office’s frontline support team.



The Graduate Programs Coordinator provides leadership, coordination, training, recruiting, advising and systems and records management to improve the graduate admissions experience. The Coordinator will help evaluate and improve the applicant experience across multiple systems and decentralized offices and will collaborate regularly with the Graduate Admissions Evaluators, Associate Director of Graduate Admissions Enrollment Technology, Associate Director of Marketing and Communications and the Director of Graduate Admissions. The Graduate Programs Coordinator works closely with individual programs throughout the eight schools/colleges across campus, the Registrar’s Office, Office of Financial Aid, Undergraduate Admissions and the Office of Information Technology.



The Graduate Programs Coordinator is an essential employee and will be required to work on campus a few days per week regularly. This employee will have regular contact with institution faculty, staff, students, outside agencies and the general public while facilitating information sessions; attending graduate school fairs; verifying document intake and requirements; assisting applicants with questions about their applications; helping applicants navigate university partners when responding to inquiries and complaints.



This position will report to the Director of Graduate Admissions in the Graduate School. As a representative of Portland State University, it is important to represent, promote and portray all programs in a professional and positive manner.




Minimum Qualifications
  • Bachelor’s degree with 1-3 years of related experience.

  • The ability to use own discretion for complex problem solving.

  • Technological expertise in navigating complex SIS systems and records systems.

  • Must be an expert in customer support, including skills such as greeting, advising, recruiting, and following up with prospective students.

  • Ability to quickly learn new systems, processes, and procedures without supervision, and has the initiative to research answers when a solution is unclear.

  • Ability to travel for in-person work events occasionally outside of the 8 am to 5 pm hours.

  • Must set priorities and work effectively under pressure in a deadline-driven environment with competing priorities.

  • Must have outstanding organizational, analytical, problem-solving and detail-oriented skills.

  • Must have high energy and flexibility to coordinate and prioritize multiple assignments.

  • Must interact with a wide range of individuals within the unit, across the university and the public.

  • Must possess strong understanding of web technologies and strong systems application skills (e.g., Word, Excel, Technolutions Slate, Banner, Adobe Design Suites).





Preferred Qualifications

  • At least three years experience in a higher education setting working directly with students.

  • Familiarity with general student services and admission principles and processes.

  • Excellent communication, analytical, organizational and computer skills including proficiency in Microsoft Office and other related software.

  • Master’s degree.

  • Prior experience with Slate, Banner and OnBase software would be a plus.

  • Knowledge of guidelines set by PSU rules & regulations; PSU admissions policies; & FERPA laws

Total Compensation Range & Benefits Statement

Salary is dependent on several factors, and new employees will typically start around the Q1 level to allow for later growth within the salary band. PSU has a structured process for determining starting compensation, taking into account years of related experience, applicable skills, knowledge and abilities, market parity, and internal equity. The starting annual salary for this position will be $46,560 – $49,500 but may be negotiated above this rate dependent upon the factors above, the budget of the hiring department, and approval from HR.
