Assistant Sales Coordinator - Remote Potential
The Assistant Sales Coordinator/Administrative Support position may become hybrid after training but only local candidates will be considered at this time. Must be able to travel to office when needed.
This is a hands-on position working within the sales group and reports to the Sales Coordinator with dotted line reporting to the Vice President of Sales. The position has heavy data-entry responsibilities, including maintaining organized sales records, producing accurate reporting, order entry and communicating effectively with sales representatives and the Vice President Sales. Concentric encourages cross training whenever possible, so this role may also assist with accounts payable and accounts receivable, as well as several functions that are part of the month end close process; including journal entries, revenue recognition, reconciliations and analysis.
Key Job Responsibilities:
Maintain organized sales records and report effectively to the senior management team.
Support senior management by completing orders and keeping customers informed of delays an delivery dates.
Establish active communication and engagement with sales representatives to ensure that orders are processed promptly.
Contribute to overall customer satisfaction by promptly answering emails and handling orders by phone.
Creation and distribute quotes/presentations to assist sales team in closing business.
Monitor open accounts for collection efforts.
Resolve client-billing problems and mitigate accounts receivable delinquency in a timely manner.
Run the accounts payable process.
May participate in key areas of the monthly financial close to ensure timely and accurate reporting on financial results.
Other duties as assigned by Sales Coordinator and Vice President Sales
- 1 or more years of experience supporting sales teams or organizations.
Strong computer and data-entry skills, including proficiency in Microsoft products (Excel, Word, Access and PowerPoint).
Strong communication, problem solving, and analytical skills.
Ability to organize his/her own work and work independently, with limited supervision.
Prior accounting/bookkeeping experience is a plus.
Ability to work with individuals from diverse backgrounds and with diverse needs, and across remote offices.
Ability to clearly articulate ideas (both written and verbal) to both internal and external customers and to listen effectively to customer needs.
Ability to develop and maintain strong workplace relationships with an emphasis on customer satisfaction.
Ability to work collaboratively with other departments toward the greater good of the organization.
Ability to adapt to a fast-changing environment.
Must have attention to detail with an eye for accuracy.
Capable of identifying and completing critical tasks independently with a sense of urgency.
