JOB DESCRIPTION AND POSITION REQUIREMENTS :


Following the record-breaking success of A Greater Penn State for 21st Century Excellence-the University's recently concluded $2.


2 billion fundraising campaign-an Assistant Director, Volunteer Programs is needed to support the Division of Development and Alumni Relations in the Office of Volunteer Programs, as the office builds on this current success, and positions itself to steward current and future volunteers to greater levels of philanthropic engagement in the future.

Overview :


The position reports to the director of Volunteer Programs and collaborates on the development and oversight of volunteer recruitment, engagement, education, evaluation, retainment, and recognition practices within the Office of University Development (OUD).


Key Result Areas :



  • Assist the director in developing, leading, and implementing annual and multi-year plans and strategies for the substantive engagement of a diverse spectrum of volunteer leaders across the Division to support ambitious fundraising goals in support of campaign objectives and University needs.

  • Assist in the development of programs to identify, recruit, onboard, engage, educate, recognize, and evaluate current and future volunteers.


This includes, but is not limited to, the new volunteer structure for the next campaign, the Volunteer Digest (monthly e-newsletter), monthly volunteer spotlight stories, maintenance of the Volunteer website, upkeep of the Fundraising Volunteers private LinkedIn Group, and programming for National Volunteer Week.



  • Develop and implement strategies to diversify volunteer engagement, to identify, engage, and enlist volunteer leaders from underrepresented and equity-deserving groups, to support their success, and to work with others to remove barriers to inclusion and belonging for such members of our community.

  • Participate in the University's women's philanthropy efforts, focused on the growth of engagement, leadership, volunteerism, and philanthropy of underrepresented communities at Penn State, including but not limited to women.


This includes serving as the primary manager for the Women's Philanthropic Advisory Board, including the WPAB Donor Taskforce(s), maintaining the Women's Philanthropy website, and representing Penn State in Kathleen Loehr's Women's Leaders Group with 40+ other institutions nationwide.


Continue to deepen the impact of the women's philanthropy model, in efforts to grow similar identity-based engagement groups and diversify the fundraising volunteer community.



Work in concert with OUD leadership and unit fundraising leaders to develop and offer meaningful and thorough volunteer training programs, including the Virtual Noontime Knowledge Series and a certificate training program.



Additionally, coordinate bimonthly meetings with the Alumni Association's Volunteer team and biannual volunteer staff cohort meetings to develop staff training programs to broaden and deepen volunteer interactions.



  • Serve as the Workfront project manager for the Office of Volunteer Programs ensuring consistent and accurate documentation of our projects / tasks and streamlining the reporting process from year to year.

  • Build capacity for effective volunteer leadership and increase the impact and effectiveness of staff in fundraising volunteer management roles.


Support, coach and advise fundraising leaders on managing volunteer fundraising committees, including roles and responsibilities, composition, strategies for meeting agendas and follow ups, issues management, and tracking and measuring success.



  • Work closely with OUD leadership and unit fundraising leaders to build a laddered pipeline of development volunteer leadership with increased levels of responsibility and engagement in programs of varied institutional focus, resulting in enlisting influential volunteer leaders that affirm our advancement's mission and directly help us raise significant fundraising goals and higher levels of engagement over time.

  • Perform additional duties to include, but not limited to, providing support in decision making, resolving problems, developing procedures, initiating new programs and initiatives to meet the goals of the offices of Volunteer Programs and External Engagement;

  • serving on internal and external committees, including GivingTuesday and One Big Week; hiring, supervising, and evaluating student interns and wage payroll staff;

  • benchmarking against volunteer programs at other similar institutions in order to remain progressive and in the forefront of volunteer engagement;


and overseeing and / or completing projects and initiatives assigned by the director of Volunteer Programs, assistant vice president for External Engagement, and OUD leadership.


Typically Required Experience and Competencies :



  • A bachelor's degree or higher plus two years of related experience or an equivalent combination of education and experience

  • A dedication and ability to build and foster a culture based on respect, humanity, and inclusion in all relationships, including those from diverse communities.

  • Exceptional written communication skills.

  • Strong oral communication, presentation, and interpersonal skills. Knowledge and experience working in complex organizations, higher education institutions, and / or development and alumni relations operations is preferable.

  • Flexibility, tact, confidence, and strong instincts for protocol and etiquette.

  • Excellent attention to detail and superb organizational skills, including the ability to set ambitious goals and to establish an internal system for meeting deadlines, tracking, follow-up, monitoring, and reporting of progress.

  • A proven ability to self-motivate and work both independently and as part of a team.

  • A commitment to professional development, learning, and being mentored.

  • Occasional evening and weekend work is required.
