The Marlene and Stewart Greenebaum Comprehensive Cancer Center (UMGCCC) in the University of Maryland, Baltimore (UMB) School of Medicine is seeking a Senior Program and Administrative Support Specialist (Specialist, Program Senior).  Under general supervision, this position will report directly to the Director and Chair of the UMGCCC in supporting the programmatic goals of the UMGCCC and overseeing the day-to-day administrative operations.   The Senior Program and Administrative Support Specialist provides advanced, senior-level administrative support to the UMGCCC Director, including independently handling inquiries and matters of significance, managing calendars and arranging travel and conferences, and developing content and dissemination strategies for speeches, presentations, articles, and web content.   BENEFITS: UMB offers a comprehensive benefits package that prioritizes wellness, work/life balance, and professional development.   • Responsible for the day-to-day administrative support functions for the Director's office especially as they relate to the NCI Cancer Center Support Grant (P30).

  • Receives and screens telephone calls and visitors. Independently handles procedural, matters of significance, and inquiries. Gathers information and disseminate office communications to pertinent parties.

  • Manages and coordinates calendar.  Ensures agendas, documents, and equipment are scheduled. Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for Oncology Program members.

  • Acts as a liaison with other departments and outside agencies, which may also include high-level staff such as management team. Handles confidential and non-routine information and explains policies when necessary. Follows up and resolves all business office issues or concerns and advises management as necessary. 

  • Establishes and manages business records. Develops and maintains record filing system, file classification, tracking, and retention schedule. Gathers materials and interprets data to prepare recurring administrative reports.

  • Responsible for supporting the Director on all aspects of the P30 grant, including day-to-day operations, project management & coordination and grant compilation

  • Leads development and content of speeches, presentations, articles and other forms of content dissemination. Contributes substantially in the development and implementation of communication and dissemination strategies, including providing oversight to social marketing strategy, making media appearances, and maintaining content on website.

  • Performs specialized administrative functions, including research and data analyses, program coordination and monitoring, data collection, database creation, surveys, reports, and recommends program changes.

  • Monitors and maintains relationships with internal and external stakeholders (i.e.: contractors, state agencies, legislature, and sponsors) to ensure compliance with work plan and deliverables.

  • Leads preparation of the P30, final program and financial reports for submission to management or outside agencies.

  • Prepares pre- and post- award reports regarding funding and/or funding continuation from outside sponsors.

  • Develops and facilitates workshops, meetings, or conferences with high impact on program and/or participants. Coordinates logistics, scheduling, communications, and participation.

  • Coordinates program activities through delegation of assignments to staff. May supervise and mentor other support staff.

  • In collaboration with programmatic leadership, plan, develop, administer and coordinate new or revised goals and objectives for programs. Ensures that goals, objectives, and deliverables specified are accomplished in accordance within priorities, time and funding limitations, or other specifications.

  • Provides advanced administrative and research support to the programmatic leadership teams. Evaluates program effectiveness in order to develop and implement new or improved methods.

  • Performs other duties as assigned.



    Qualifications    Education: Bachelor's degree. Experience: Three (3) years administrative or program coordination experience. Supervisory Experience: One (1) year in work coordination, training, and daily oversight of staff, students, or volunteers preferred. Certification/Licensure: N/A. Other: Related experience to program may be substituted for education. Ability to prepare financial statements and budgets.   Hiring Range: Low $60,000s to mid $70,000s, commensurate with education and experience.   UMB is an Equal Opportunity/Affirmative Action Employer.
