Educational Requirements

Associates degree in Accounting or related field or two (2) years of experience

Position Requirements

Experience
  • At least one year experience in office management preferred.


Travel
  • Up to 10%. May require travel to regional meetings.

Job Specific Details:

General Responsibilities
  • Maintain a professional and quality image at all times.
  • Answer phone appropriately and professionally.
  • Responsible for taking and giving messages as necessary.
  • Greet and direct visitors appropriately.
  • Insures mail is distributed accordingly on daily basis.
  • Maintain On-Call information, as necessary.
  • Responsible for billing, payroll, A/P and A/R functions, for all product lines.
  • Formulate DME and office supplies for Administrator?s approval monthly and effectively maintain such supplies.
  • Working knowledge of clerical responsibilities for all product lines.
  • Working knowledge of computer systems and ability to assure generation of managerial reports as appropriate.
  • Working knowledge of state and federal regulations regarding billing, aged-accounts, and denials of payments.
  • Maintain monthly pharmacy log.
  • Maintain physician license verification book.
  • Prepares reports for the Administrator and/or Director of Professional Services as needed.
  • Participates in agency quality improvement activities.
  • Responsible for oversight of set up of new patient charts.
  • File paperwork accurately in patients? files.
  • Mail or fax physician orders for physicians? signatures.
  • Track physician?s orders for return per state requirements and follow up with duplicate as needed.
  • Process discharged patients and break down patient?s record to close patient?s file.
  • File completed discharge file to appropriate area.
  • Process time cards for productivity and complete paperwork.
  • Process timely response to request for medical information and/or personnel file information in accordance to Promedica policy and procedure.
  • Ensure growth and profitability of the company through the responsible use of company resources and educating the community to our service.
  • Supervision of clerical staff in all product lines, including oversight of productivity and accuracy, systems needs and staffing requirements.
  • Supervise office staff in all product lines; delegate/assign work duties as appropriate.
  • Responsible for interviewing, selection, orientation & training of Team Coordinators.
  • Evaluate, counsel and implement appropriate disciplinary action, as necessary.
  • Applies the policies and procedures of the agency and the rules and regulations of state and federal regulatory agencies and other certified agencies in providing care.
  • Willingly accepts direction from the Director of Professional Services/Administrator/Assistant Administrator.
  • Responsible for maintenance of accurate and up-to-date employee files ? record all required information in personnel files per company policies.
  • Maintain current applicant and termination information, including data needed for Affirmative Action reporting.
  • Assist with orientation of new employees as requested by the Patient Care Coordinator (i.e., making ID tags, complete I-9?s, etc.).
  • Set up applicant interviews.
  • Processes references of applicants and conduct phone references as necessary and prepares new hire packets.
  • Maintain ongoing communication with co-workers and participates in staff meetings.
  • Adheres to established personnel policies.
  • Accepts other assignments deemed appropriate.
